What we collect
Ideal Properties, Inc. ("Ideal Properties," "we," "us") manages residential rental properties on Oahu. This policy explains what personal information we collect through idealhawaii.com, why we collect it, and what we do and do not do with it. Last updated August 2026.
We have tried to write this in plain language rather than legal boilerplate. If anything here is unclear, please contact us — our details are at the bottom of this page.
When you request a viewing. Our viewing request form asks for your name, email address, phone number, which property you are interested in, your preferred date and time, and anything else you choose to tell us. All of it is information you type in yourself. We do not require you to create an account.
When you contact us directly. If you email or call us, we keep the contents of that correspondence so we can follow up.
When you apply to rent. Rental applications are handled separately from this website, through our rental application process. Those forms collect more detailed information, including information used for tenant screening. Where a third-party screening service is used, that service has its own privacy policy governing how it handles what you submit to it.
Ordinary website information. Like most websites, ours is hosted by a service provider that records standard technical information such as browser type and pages visited. We do not use this to identify individual visitors.
How we use it, and who we share it with
We collect it only to do the thing you contacted us about, and to run our business: to respond to your enquiry and arrange a viewing; to tell you about the availability of a property you asked about; to process a rental application, if you submit one; to keep our own records of enquiries and tenancies; and to meet our legal and regulatory obligations as a licensed property management company. We do not use your information to build advertising profiles.
Text messages (SMS). We do not send marketing text messages, and we do not text you to advertise anything. If you give us your phone number on a viewing request, that number is included in the internal notification we send to the agent handling that property, so they can call or text you back about the property you asked about. Those internal notifications may reach our agents' own mobile phones as text messages. If we do contact you by text about your enquiry, your viewing or your tenancy, message and data rates may apply and message frequency varies. You can stop receiving texts from us at any time by replying STOP, and get help by replying HELP.
We do not share or sell mobile phone numbers or SMS consent to third parties for marketing purposes. Mobile information collected for text messaging is used only to communicate with you about Ideal Properties matters, and is not passed to anyone else for their own marketing.
Who else sees your information. We do not sell your personal information, and we do not rent or trade it. We share it only where it is necessary to do what you asked us to do, or where the law requires it: with service providers who operate parts of our business on our behalf, such as our website host, our email provider, the rental listing platforms where we advertise available units, and our property management software, all of whom may only use the information to provide their service to us; with property owners we manage for, where relevant to a tenancy or an application for their property; with tenant screening services, where you have submitted a rental application and consented to screening; and when required by law, including in response to a lawful request from a government authority, or to establish or defend a legal claim.
Your choices, and how to reach us
How long we keep it. We keep enquiry information for as long as it is useful to us in managing our properties, and for as long as any legal or regulatory obligation requires. Tenancy and application records are kept in line with Hawaii landlord-tenant recordkeeping requirements.
How we protect it. We use reasonable administrative and technical measures to protect the information we hold, and we limit access to staff who need it to do their job. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your choices. You can ask us what we hold about you, and ask us to correct anything that is wrong. You can ask us to delete your enquiry information, and we will do so unless we are required to keep it — for example, as part of an active tenancy record. You can opt out of text messages at any time by replying STOP. And you can ask us to stop contacting you about a property. To make any of these requests, contact us using the details below.
Children. This website is not directed at children, and we do not knowingly collect personal information from anyone under 18.
Changes to this policy. If we change how we handle personal information, we will update this page and change the "last updated" date at the top.
